Description

The Role

To provide organisational, secretarial and administrative support primarily to the Managing Director, as well as the Senior Leadership Team, consisting of 7 members.

  • Screen MD telephone calls, emails, enquiries and requests, communicating effectively and professionally and handling as appropriate;
  • Manage the complex and changing diary of the MD; including scheduling, negotiating appointments and meetings, organizing supporting documentation and ensuring the MD is prepared for their meetings;
  • Input MD weekly time sheets;
  • Arrange all travel including flights, accommodation, car rentals etc. for the MD and SLT both domestically and internationally;
  • Coordinates meetings and events including; organising and collating meeting agendas, taking and distribution of minutes and following up action items. This also includes room bookings and equipment set-up such as teleconferencing, IT equipment and refreshments;
  • Maintenance and reconciliation of finance materials for MD, such as credit card statements and expense claims;
  • File and retrieve documents and reference materials;
  • Organise and co-ordinate corporate functions and marketing events, including internal staff events such as the Christmas Party;
  • Maintain Company fleet of Mobile Phones and account with Telstra, as well as updating the Company telephone list;
  • Monitor and apply use of the Corporate Style Guide;
  • General office administration support as required;


Your Profile

  • Minimum 3 years' experience as a PA or EA;
  • Experience in a project or professional services related organization highly desirable;
  • Strong administrative skills, organised, thorough, proactive and reliable;
  • Great degree of professionalism and judgement with the ability to maintain a high level of confidentiality;
  • Proactive and uses initiative to anticipate the needs of MD and SLT, with a proven capacity to work autonomously within an ever-changing environment;
  • Demonstration of exemplary organisational and time management skills;
  • Superior attention to detail and the ability to identify errors and rectify them;
  • Outstanding interpersonal and communication skills to create strong and productive relationships at all levels;
  • High level of computer literacy and knowledge;
  • Intermediate to Advanced Microsoft Office Suite, including Outlook, Word and PowerPoint;
